The Business:
Portal Industries is a non-profit organization with a constant mission: to assist persons with disabilities to achieve full participation and integration into their communities.
The Complexity:
Portal has two very distinct operational units
within its facility.
The Business unit employees a diverse staff who are involved in
everything from sorting, to packaging, to manufacturing, to fabrication.
The management of the business unit has the responsibility to increase
the work load for the staff and constantly seek to attract new industries
to its labor pool.
The Funding unit utilizes volunteers called Friends For Portal that
help raise funds, equipment, and volunteers that serve to support
the mission.
One Database:
The challenge to TSR in this case was to develop
a database for shared use. While the business manager may have been
pursuing an industry for new or additional business, the director
of development may have been pursuing the same business for a donation
of cash or equipment. The two tasks could not be more diverse, but
the need to see the progress of each in one concise location was
paramount.

- Simple way for them to view and maintain their own customer lists
Reporting:
In addition to tracking the follow-ups on calls and appointments,
Portal had unique reporting needs. Two reports considered vital
for efficient future management were the Donor History Report (an
ever-building history of who gave, when, and how much)
and the Grant Request Tracking Report (a continuous running report
of what grants have been applied for, what the next action is to
be, and when it needs to be taken.)
The Solution:
GoldMine Software.
At first glance, it appeared Portal was going to have to go
with an industry-specific software program principally designed
for donor-tracking.
Unfortunately, such software did not address the needs of the Business unit.
TSR Solutions was able to demonstrate how GoldMine could be designed to accommodate the unique elements of each operational unit so that it could be used to satisfy the needs of each, all inside one single database.
With customized fields added and separate screens and tabs created, every business and every person that Portal needs to remain in contact with are now maintained in one place. No more islands of information. No more delays getting back to clients waiting to speak to see what the other has done.
Several reports are now being produced that were considered only wishes earlier, and would not have been possible with the competitor's industry-specific software.
Most documents are now generated from GoldMine, resulting in clickable links to those documents for review, email, or reproduction at any time.
