The Business:
Spee-Dee Packaging is a very fast-growing company
serving many of the giants in the food industry. Boasting clients
such as Betty Crocker, General Mills, Quaker Oats, and Hills Brothers
Coffee, Spee-Dee is on the leading edge of high-tech precision dry-fill
packaging machines.
The Complexity:
Two problems loomed large at Spee-Dee: one, an
antiquated DOS-based activity management program and two, duplicative
entry processes due to several employees maintaining independent
databases for their respective client interaction needs.
The Need:
Spee-Dee's sales team needed to review all client
interactions routinely. In an effort to maintain a deep-seated relationship
with the client, sales had to see engineering notes, distribution
notes, production team conversations, as well as all sales literature
distributions, and be able to review them without having to constantly
go through each island of information. Additionally, each company
had dozens of contact people, so all information had to be company-based,
not client-based.
Reporting:
One of the most important pieces of information - the quotations
- were being manually produced. A quote log report needed to be
generated with the click of a button while at the same time the
quote itself needed to become a template and stored within the client
record for shared viewing.
The Solution:
GoldMine Software.
GoldMine starts with a company-centric platform to its database. Since multiple contacts can be contained inside one company record, all interactions with all clients in one company are stored as history events in the company record. No more scrolling through hundreds to thousands of lines in the DOS program, no more intercom pages to staff to talk to customers, and no more lost data because an employee an employee left the company!
GoldMine handled the dozens of quote forms used by Spee-Dee by templating each quote as a Microsoft Word document. Now when a quote is generated, the document is pre-populated with the client data from the GoldMine record, a history event is written in the company record, and a link to the document is automatically produced as soon as it is saved. A huge time and paper saver!
Though accounting handles the details of each invoice, the actual invoice document sent to the client as well as the internal documentation is now handled by GoldMine. As before, links are automatically generated by GoldMine so all information builds in one location.
E-mails in and out, and calendar activity such as calls and appointments are now all reflected per company record.
Finally, for the occasions when the salespeople are out for extended periods, a laptop carries a full version of GoldMine and a simple synchronization is done to migrate all changes between them. A true end-to-end solution!
