- We already have
anti-virus in-house protecting our servers and desktops. Why do
we need e-Sweeper?
We’re sure you are aware that simple anti-virus checking
doesn’t cover the whole issue. Content Security as addressed
by e-Sweeper spans email attachments, Spam, hoaxes, plus bandwidth-sapping
unauthorized attachments (e.g. video, image and commercially sensitive
material). And remember that misuse of email can expose users
to legal liability. Our service takes care of all these threats
and more. e-Sweeper recursively decomposes email into its base
form and then recognizes file signatures, which means we can find
threats buried many levels deep in zip files or compound documents.
As the e-Sweeper anti-virus element has it’s virus pattern
files updated automatically it allows your IT staff to focus on
adding value to your business..
However, e-Sweeper doesn’t do away with the need for your
desktop anti-virus tools as viruses can find their way into your
network by means other than your email.
- How do I know your
service will detect all viruses in our email?
We would never claim a 100% detection rate. What the makers of
e-Sweeper do claim is that their anti-virus checking partners
are among the most accurate, aggressive and timely in the industry.
They check for new signatures from anti-virus partners continuously
and believe that they offer the most cost-effective email virus
scanning solution that also manages other content threats too.
We also have the added benefit of being able to find content threats

Yes. Our standard anti-virus service allows you to define a legal
disclaimer that can be attached to all your outbound mail indicating
that you have an investment in responsible dissemination of email
within the business community.
- My company has
more than one domain for sending and receiving email. Can e-Sweeper
handle this?
Yes. When you log in with the user name and password that we supply
to you, you can access an administration area where you set up
multiple domains.
- If I am sued for
the consequences of an email activity, can the fact that I have
e-Sweeper help to improve my defense?
Yes, if you have a published internal policy about appropriate
use of corporate email, and you have e-Sweeper configured to
block malicious use of your email, you are certainly demonstrating
a level of commitment to minimizing email misuse. This could
help reduce your legal liability.
- If I have to take
action against an employee for misuse of email, can e-Sweeper
make a difference in proving my case?
Yes, if your e-Sweeper service was configured to track the types
of content breach that the employee committed, you will have a
record of what email issued by the employee was quarantined or
logged.
- Is anyone other
than the intended recipient actually reading the mail?
No. Scanning the entire email for certain keywords identifies
inappropriate language and Spam, in the same way that viruses
are detected by their unique pattern. This automated procedure
results in the email being classified as either a threat or clean.
At no time does anyone "read" the email and no third party is
acting as an editor.
- Do any privacy
laws affect e-Sweeper?
The makers of e-Sweeper continually monitor changes in privacy
legislation around the world on behalf of users. In addition,
we recommend that organizations take legal counsel before implementing
their email policy.
- Can you advise us on establishing an acceptable email usage policy?
Yes - we have a guide to Establishing and Maintaining a Content Security Policy from the makers of e-Sweeper. This explains what you need to consider when drafting an email policy that will protect both your organization and your employees from various content security threats. Such threats might include loss of intellectual property, offensive and inappropriate materials, legal liability and viruses. They recommend a structure based on the "Three E's":
- Establish an email and Internet usage policy that clarifies what the organization considers to be acceptable and unacceptable use of that system, including personal usage, in agreement with employees
- Educate employees on the policy and how to use the email system responsibly
- Enforce the usage policy using a centrally managed, policy-based software solution.
The policies should be defined and implemented with the support of IT, Human Resources and Senior Management and should cover both the management and staff perspectives.
By setting out a clear policy, along with the reasons for implementing it within your organization, you will allay the fears employees may have about email content scanning, and also set their expectations with regards to email privacy. We recommend that you also communicate the benefits that an email policy brings to the employee, as well as the organization as a whole, for example protection from racial and sexual harassment. Remember, a policy is only as strong as the way it is maintained and adopted. The use of e-Sweeper will ensure company-wide compliance with the policy.
